Booking Confirmation

A $50 non-refundable booking fee is required within seven (7) days of receiving the invoice to secure your date and services.

Dates are subject to availability and are not secured until the deposit is received.

Full Payment

The remaining invoice balance must be paid no later than seven (7) days prior to the event.

Payments can be made via electronic bank transfer or another agreed method.

Travel Fee

A travel fee may apply depending on the event location. This will be communicated and agreed upon during the booking process.

Late Payments

Failure to pay the full invoice amount by the due date may result in cancellation of services.

Cancellations & Changes

A 72-hour "cooling-off" period applies from the time of booking, during which cancellations can receive a full refund.

After the 72-hour period, booking fees are non-refundable.

Cancellations made

More than 30 days before the event: Refunds will exclude the deposit amount.

Less than 7 days before the event: Full invoice amount is non-refundable.

Rescheduling

Rescheduling is possible, subject to availability:

More than 30 days before the event: The booking fee will be held as credit, and a 20% rescheduling fee applies.

Less than 30 days before the event: Full invoice amount will be held, and a 30% rescheduling fee applies.

Substitution of Services

In the unlikely event that Capture Collective cannot perform services due to unforeseen circumstances, a suitable replacement will be arranged, or a full refund issued.

Event Duration

Agreed-upon service durations are final after deposit processing.

Requests to shorten the duration will not reduce the fee.

Extensions beyond the agreed time are subject to availability and incur additional charges, payable in full before the additional services begin.

Content Delivery

All raw and edited content will be delivered in a private online gallery within the agreed timeframe, typically within 24-48 hours for edited reels.

Files will remain accessible for download for up to one (1) month from the delivery date.

Packages include unlimited raw content (photos and videos) and specified edited deliverables.

Capture Collective will retain event content for 12 months. After this period, files will be permanently deleted.

Artistic Style & Editing

By booking services, it is acknowledged that the portfolio and artistic style are understood and agreed upon.

Specific shots are not guaranteed due to the live nature of events, but efforts will be made to accommodate requests.

Capture Collective reserves the right to make creative choices in the editing process.

Additional editing requests beyond the agreed deliverables may incur additional fees.

Client Responsibilities

Provide accurate event information and timelines.

Ensure all necessary permissions for photography and videography are secured at the event venue.

Communicate specific preferences or shot lists before the event date.

Liability

Capture Collective’s liability is limited to the invoice amount paid by the client.

Indirect or consequential damages are not covered.

Delays or cancellations due to circumstances beyond control, such as weather, technical failures, or venue restrictions, are not the responsibility of Capture Collective.

Intellectual Property

Capture Collective retains full copyright over all photos and videos captured. Clients do not have ownership rights to the content.

Clients are granted a non-exclusive, non-transferable license for personal use of delivered content.

Capture Collective reserves the right to use all content for promotional purposes, including social media, website and marketing materials.

If a client wishes to opt out of promotional use, they must request this in writing before the event and may be subject to an additional privacy fee.

Privacy

Personal information is collected and used solely for booking and communication purposes in accordance with the Privacy Act 1988.

Personal information is not shared with third parties without consent.

Final Agreement
